Executive Assistant to the CEO – Irembo

Irembo is a technology company that designs and develops digital products focused on users in Africa, starting with Rwanda. IremboGov, Irembo’s pioneer product, is a government services platform. To date, it has enabled 13M+ transactions since its creation and o?ers about 100 services online to Rwandan and international users. We are using this experience to develop a wide range of products that will transform the tech ecosystem as we know it.

Role overview:

Reporting directly to the CEO, you will provide executive support in a one-on-one working relationship. You will serve as the primary point of contact for internal and external stakeholders on all matters pertaining to the Office of the CEO. You will also serve as a liaison to the senior management team; organize and coordinate executive outreach and external relations efforts; and oversee special projects. You should be creative and enjoy working within a small, entrepreneurial environment that is results-driven oriented. You have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.

What you will do:

Provides a best-in-class executive support

Manages the CEO’s schedule and workload and ensure that she is adequately prepared for meetings

      • Plans, coordinates and ensures the CEO’s schedule is followed and respected
      • Ensures the CEO is briefed on her daily schedule both in terms of content (objectives, agenda, attendees) and process (time, duration, location)
      • Prepares the meeting agenda and provides needed background information to the CEO before meetings
    • Works closely and effectively with the CEO to keep her well informed of upcoming commitments and responsibilities, following up appropriately
    • Coordinates logistics for high-level meetings both internally and externally
    • Provides “gatekeeper” and “gateway” role, creating win-win situations for direct access to the CEO’s time for external stakeholders
    • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO and determines appropriate course of action, referral, or response
    • Prioritizes conflicting needs, proactively, and follows-through on projects to successful completion
    • Arranges CEO’s travel and logistics

Facilitates internal meetings

    • Assists in coordinating the agenda of senior management team meetings and off-sites, and all staff meetings
    • Assists in coordinating the agenda for senior management team meetings. Prepares meeting minutes and designates and follows up on assigned action items.

Supports external communications and relationships with partners

    • Responds to requests for materials regarding the CEO and the organization in general
    • Edits and completes first drafts for oral and written communications to external stakeholders (in collaboration with Irembo’s Communications Manager and Irembo’s Director of Partnerships)

Strategic and business development initiatives

    • Follows up on contacts made by the CEO and supports the cultivation of ongoing relationships (in collaboration with Irembo’s Director of Strategy and Business Development)
    • Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the CEO

You will be a great fit if:

  • You graduated with a bachelor’s degree from a top tier Rwandan/international institution
  • You are proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms
  • You are tech savy and able to learn new software
  • You have strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • You have strong interpersonal skills and ability to build relationships and work with stakeholders, including staff, management, board members, external partners
  • You have excellent writing, editing, grammatical and oral communication skills
  • You are a forward looking thinker, who actively seeks opportunities and proposes solutions
  • You are able to conduct research and present data in a succinct and well-written manner
  • You have excellent management, time-management, problem-solving and decision-making skills
  • You are able to work independently and with professional discretion
